Let's be honest. "Terms and Conditions" are pretty boring, but they're necessary. You need them to protect the investment you're putting into your tour or event, and we need them to protect our guides, photographers and our business.

Read below to find out more about our general terms and conditions, as well as specific terms and conditions for photography and bike rentals.



Your Private Day Tour & Shore Excursion With Barcelona Experience: Understanding the Specifics

Read about how to book, what happens when you cancel and what is and is not included in your private Barcelona day tour or shore excursion.


  • All transportation: Private vehicle or modern coach for your comfort, security and group size. All bikes for bike tours.
  • Punctuality: We pick you up on time, and we drop you off on time. Our clients never miss their boat.
  • All sales tax, unless otherwise specified.
  • Full support during your tour, attention to detail and a high level of personal service.
  • Travel consulting and area recommendations before and during your stay.
  • Flexible itinerary that allows for on-the-fly adjustments.
  • Mix-and-match options that allow you to create your own itinerary.
  • Friendly, local, English-speaking guides who make communication clear and easy.
  • Exclusivity and privacy, which allow you to maximize your time without the hassle of a large group.
  • A go-at-your-own pace philosophy in which you choose the speed of your tour.
  • Advance ticket purchasing options, in which we take care of your tickets before you arrive to avoid long lines and delays the day of your excursion.
  • Lunch: To allow you the flexibility of choice and preference, the cost of your meals are not included in the cost of the tour.

    You decide where, when and what you want to eat. Your guide and host will have suggestions for you.

    Lunches typically cost between 10 and 25 euros per person. Your guide's meal will be included in your lunch bill.

  • Entrance Fees: Entrance fees to museums and other attractions are not included in the price of the tour unless otherwise noted.

    You can choose which attractions you want to enter.

    We'll work with you to acquire the tickets for the sites that suit you.

  • "Cattle syndrome": Many shore excursions and day tours turn into cattle-herding lessons; huge groups frantically craning their necks to find their tour guide in hopes of hearing a fact or two.

    You receive personalized, attentive service from Barcelona Experience; in other words, no bull.

  • Hassle and worry: Our tours are private, fun and professional.

    We take the hassle and worry out of your tour so you get the best experience possible during your visit to Barcelona and beyond.

Full payment is due at the time of booking. Payments are made through our secure online booking system, with PayPal, by phone or in person.

For clients who create a customized itinerary, payment is due once the itinerary and price are finalized.

  • All major credit cards are accepted. A 2.9% transaction fee will be applied to credit card transactions.
  • Cash is accepted.
  • Prices do include Spain´s 21% sales tax, unless specified otherwise.

Common Language

  • Credit card companies and PayPal never miss an opportunity to charge businesses for received payments. Lame, right? To offset some of this cost, we charge a small percentage for these types of transactions. Please don't hate us!
  • Cancellations made 30 days or more from the date of your tour will receive a full refund.
  • Cancellations made between 29 and 21 days from the date of your tour will receive a 50% refund.
  • Cancellations made between 20 and 14 days from the date of your tour will receive a 25% refund.
  • Cancellations made within 13 days days or less from the date of your tour will not receive a refund.
  • Barcelona Experience is not responsible for cancellations that are out of our control. If you miss your connecting flight to Barcelona and consequently miss your scheduled tour, we follow the guidelines stated above.




Barcelona Experience Photography Terms & Conditions

Read this section to find out about general terms and condtions for our photography services, payments, reservations and cancellations.


  • All photography services provided at the booked event will be detailed in the contract provided at the point of booking. The photographer is obligated only to the terms of the contract.
  • Client is responsible for providing a list of people whom he/she would like to be photographed during the booked event. In giving these names, the client consents to Barcelona Experience's use of these photographs for its website, promotional material, advertising and other marketing avenues. The client waives the right for compensation for the company's use of this content.
  • Events within 25 km of Barcelona will not include surcharges for travel and transportation. Any events outside of the 25 km radius may incur surcharges for travel and transportation.

Common Language

  • We offer you all the services we promise, from the beginning to the end of your event.
  • You give us permission to photograph your wedding and to use the photos for our website and other avenues that promote our business.
  • If there's anyone who absolutely doesn't want to be photographed (international bank robbers, other criminals on the lam, undercover international spies and the like), let us know. We'll make sure they don't appear in the photos we take.
  • Events that are far away from Barcelona (+25 km) take a lot of gas and time, so, we'll most likely add a travel fee to your bill.
  • All major credit cards are accepted. A 2.9% transaction fee will be applied to credit card transactions.
  • PayPal payments are accepted A 2.9% transaction fee will be applied to PayPal payments.
  • A 50% deposit is required to reserve your desired date.
  • The remaining 50% of your payment must be made 21 days prior to the event date.
  • Prices do not include Spain´s 21% sales tax.

  • Deposits and cancellation policies are pretty standard stuff.
  • Most European Union countries charge a brutal sales tax rate. If it were up to us, every event would be duty free!
  • Refunds of 50% of the contracted price will be given to clients who cancel their reservation 60 days or more from the first day of event.
  • Refunds of 25% of the contracted price will be given to clients who cancel their reservation between 59 days and 30 days from the first day of the event.
  • No refunds will be given for cancellations made from 29 days before the event to the day of the event.

Common Language

  • Our cancellation policies are pretty normal. They help us recuperate any money we might have lost in turning down other events at the same time/day as your event.




Your Barcelona Experience Bike Rental Terms & Conditions: Understanding the Specifics

Read this section to find out about rental conditions, theft insurance, what's included in your bike rental and our bike delivery and pickup rules.

Customers who rent bikes and other equipment from Barcelona Experience are subject to all terms and conditions below:


  • Barcelona Experience bike rentals are to be done through our online booking system. The rental period starts at 10:00h and ends at 20:00h for day rentals. Late returns will be charged the corresponding rental rate for the time of delay.
  • Delivery and pickup for rented equipment available to the following Barcelona zip codes: 08001, 08002, 08003, 08004, 08005, 08006, 08007, 08008, 08009, 08010, 08011, 08012, 08013, 08014, 08015, 08018, 08019, 08021, 08025, 08029, 08036 and 08037.
  • Bicycles can only be returned to a Barcelona Experience representative who has possession of the original rental contract. Rented equipment cannot be left with hotel staff, friends or locations other than with Barcelona Experience without prior notification with, and confirmation by, Barcelona Experience. Failure to do so will leave the customer economically liable for any damages, loose or theft of rented bicycles and/or equipment.
  • All bike rentals must be made through our online booking system. This is the only way to confirm availability.
  • Shop Pickup and Returns: You have a 45-minute grace period for bike pickups at our shop. No-shows or clients who arrive 45 minutes past their rental time will lose their bike(s) and will not receive a refund for the rental payment.
  • Delivery & Pickup: Clients who arrive more than 15 minutes after the confirmed delivery or pickup time will incur an additional charge of 15 euros, plus the corresponding extra hour/fractional-hour rental rate, unless the late arrival is previously communicated and confirmed by Barcelona Experience.
  • The client signing the rental contract must be at least 18 years old. Underaged clients must be accompanied by an adult.
  • At time of booking: Full payment for your bike rental is required to confirm your bike rental reservation. Most major credit cards are accepted via our online booking system.
  • Upon bike delivery or pickup: A fully refundable security deposit is required for each bike rental at the time of pickup and/or delivery. The deposit amount is specific to each bike model and can be done either by credit card or cash.
  • A credit card or cash deposit is required at the start of your rental period as a guarantee against theft or damage for all bike rentals.
  • Deposits are fully refundable if rented equipment is returned in the same conditions as delivered.
  • Any damages, loss or theft of rented bicycles and/or equipment will be deducted from the deposit at the end of the rental period according to the present market value of the equipment. If the damaged, stolen or lost items exceed the deposit amount, the client must pay the balance.
  • Deposit amount will be fixed at time of booking and is specific to each bike. Deposit amounts typically range from 50 to 300 euros per bike.
  • Identification documents are not acceptable as a deposit. This includes passports, driver's licenses or National Identity cards (EU citizens).
  • cancellations are fully refundable up to 48 hours prior to your reservation. Cancellations submitted after this time or at the moment of delivery are non-refundable.
  • Early returns: No refund will be made for early return of the bike(s).
  • Late returns: Will be charged at current rates for time of delay.
  • All cancellations must be made by contacting Barcelona Experience.
  • Rental equipment includes, but is not limited to, the bikes and their components; parts and accessories such as bike locks, lights and/or helmets. Rental equipment is for the sole use of the designated client and the members of his/her party.
  • Client is fully liable and responsible for all damages, loss or theft of rental equipment. All rental equipment must be returned in same condition in which it was delivered.
  • Client is responsible for taking good care of rental equipment; and to protect it from any damages, loss or theft. In case of damage, loss or theft of rented bike(s), components or any of parts, Barcelona Experience will charge the customer the full market price of the damaged, lost or stolen property.
  • Client is at all times responsible for properly locking bike(s) when the bike(s) are unattended. "Properly locking the bikes includes": passing the lock through the frame and attaching the bike(s) to something fixed to the ground, such as a designated bike parking area.
  • It is highly recommended that your bike(s) are locked and secured at all times when they are not in use, especially during overnight rentals.
  • For added security we strongly recommended that, whenever possible, you store indoors any equipment/bike(s) rented overnight. Hotels usually allow you to either to store your equipment/bike(s) in your room, or in a safe location the hotel provides.
  • Do not leave bikes unattended at any time.
  • Barcelona Experience is fully insured as required by local laws with proper third-party liability insurance coverage.
  • Client is responsible for adequate personal insurance coverage for risks that may occur during the rental period.
  • Barcelona Experience is not liable for any claims concerning body injury or harm; accidents; damage caused to third-person property or loss of personal belongings caused by weather, sickness, or any other causes whatsoever beyond the control of Barcelona Experience.
  • The client and his/her group must respect Spanish traffic regulations. Any ticket or fine due to incorrect use of the bicycle is the sole responsibility of the client.
  • Client's personal data is for the sole use of Barcelona Experience and is protected by organic law 15/1999 of 13th December regarding the protection of personal data.
  • Bicycle theft insurance is an optional service to protect you against theft, not damage, of your rental bike and equipment.
  • Cost for insurance is bike-specific and is applicable on a per bike and per day basis.
  • Insurance is not availaibe on some bike models.
  • Bicycle theft insurance reduces your liability by 50% for any missing item based on its stated value in the contract.
  • A typical scenario: You rent a bike with a stated value of 500 euros along with a 50 Euro lock.
    • Without insurance: You would be liable for 550 euros, the full stated value of the bike and the lock.
    • With insurance: You would be liable for 275 euros, 50% of the full stated value of the bike and the lock.
  • Improperly locked bicycles are not covered by our bicycle theft insurance. Do not leave rental bikes unattended without properly locking them.
  • Keys: Loss or damage to lock keys is not covered by our bicylcle theft insurance. Key copies are charged at 15 euros per copy.
  • Damage to rental equipment is not covered by our bicycle theft insurance. Client is liable to pay, at the time of return, for all damages to rental equipment.
  • All claims must have an official police report.
  • If your rental equipment is stolen, go to the nearest police station to file a report for any claims.
  • No claims will be accepted without a police report.
  • A bike lock: All bike rentals include a heavy-duty lock. Lock your bike correctly.
    • Lock bikes(s) to a solid fixed object such as is to be found at designated bike parking areas.
    • Pass the lock through the bike frame, not just a wheel, and around the object you are locking it to.
  • Support: We provide support during your rental. Contact us with any problems. We will fix or repair your bike so you can keep riding.
  • Bike rack: Most of our city bikes include a bike rack either on the front of the bike or the back of the bike.
  • Optional door-to-door service: This is an optional service that delivers your bike rentals to your choice of starting/ending point.
  • Changes to delivery & pickup times/locations: These changes must be communicated to and confirmed by Barcelona Experience at least 24 hours in advance of the confirmed reservation.
  • Client delays: Clients who arrive more than 15 minutes after the confirmed delivery or pickup time will incur an additional charge of 15 euros, plus the corresponding extra hour/fractional-hour rental rate, unless the late arrival is previously communicated to and confirmed by Barcelona Experience.
  • 20-minute grace period: Clients who choose delivery and pickup services are afforded a 20-minute grace period. If the client does not arrive at the designated delivery time/location after 20 minutes, the client is considered a "no-show." In such cases, drivers are entitled to remain at the site, or move on to another delivery. The charges stated in the "Client delays" section above will be applied to the rental.
  • No-shows: If the client fails to appear within the grace period and the driver leaves the designated pickup/delivery site, the client will have the option to reschedule their bike rental. Rescheduled rentals will include the late fees mentioned in the "Client delays" section. In such cases, the client will be subject to, and informed of, applicable delivery charges.
